Kanban pipeline
A fullscreen Kanban CRM for WhatsApp — drag chats through pipeline stages, with deal values, stage automation, filters and analytics.
The Kanban board turns your WhatsApp chats into a visual CRM. Every card is a chat; columns are stages; dragging a card moves the deal. It runs as its own fullscreen browser tab, so you can work the pipeline on one monitor while WhatsApp Web stays open on another.
Open the board
Click the Kanban icon in the Ideaz AI dock — a dedicated tab opens (or refocuses if already open) and automatically binds to the WhatsApp account you clicked from.
The layout is a collapsible left sidebar plus a horizontally scrolling board:
- The sidebar switches the board between Tabs, Labels and your Workflows (pipelines), with Settings and the Keyboard Shortcuts reference at the bottom and your WhatsApp profile pinned below.
- The board always shows the INBOX column first (left-most) — your chats that aren't assigned anywhere yet — followed by the columns of whatever view is active.
- Keep WhatsApp Web open in another tab: the board reads chats live from it (if it's closed you'll see "Open WhatsApp Web in another tab to load your chats here.").
Three board modes
The sidebar picks what the columns represent. The card UI — avatars, last-message previews, action chips — stays the same in all three.
Tabs
Custom chat tabs rendered as columns next to INBOX. Click Tab (or press alt+a) to open Tab Configuration and create one: a name, a colour, and filters — Unread only, Archived, and Match labels (any) to pull in every chat carrying one of the selected labels. Tabs can be edited, hidden or deleted, and dragging a chat into a tab column files it there.
Labels
One column per label, so you can drag chats between labels like a board. The Labels view also manages them — create with a colour swatch (or custom colour) and an optional description, rename, or delete ("Delete label …? Any chats tagged with it will be untagged."). These are the same labels as your Tag Management tags — changes here show up on the WhatsApp Web chat list instantly.
Workflows
Your sales pipelines. On first run Ideaz AI seeds a Sales Pipeline with seven stages — Lead, Contacted, Qualified, Proposal, Negotiation, Won, Lost — so the board works out of the box. Press alt+3 to alt+9 to jump straight to a workflow.
Build a pipeline
Pipeline templates
Create a pipeline with Create CRM (alt+a): a name (up to 25 characters), a description, a colour, and a Template that prefills the stages:
| Template | Stages |
|---|---|
| Blank | start empty |
| Sales | Lead · Contacted · Qualified · Proposal · Negotiation · Won · Lost |
| Finance | Lead · Application · Documents · Underwriting · Approved · Disbursed · Rejected |
| Support | New · In Progress · Waiting on Customer · Escalated · Resolved · Closed |
| Recruitment | Applied · Screening · Interview · Offer · Hired · Rejected |
| Real Estate | Lead · Site Visit · Negotiation · Agreement · Registered · Closed |
Stage editor
Open any stage column's ⋯ menu → Edit stages. Here you add, rename, recolour, reorder (Move up / Move down) and delete stages — deals from a deleted stage are reassigned to the first remaining one. Each stage also carries:
- Type — Normal, Won or Lost. Won/Lost are the terminal stages that drive win-rate and the lost-reason prompt.
- Win % — the probability used by the analytics forecast.
- WIP limit — the column header warns with "{count} of {limit} (WIP limit)" when a stage holds too many deals.
- Rot after (days) — deals idle longer than this show an "Idle {days}d" chip so stalling conversations stand out.
Stage automation
The same editor configures the pipeline's behaviour:
- On enter — when a deal lands in a stage, automatically Apply tag, Create task or Create reminder (for example, tag everything reaching Proposal as Hot Lead).
- Custom fields — define pipeline-specific fields (Text, Number, Date or Dropdown with comma-separated options) that get filled in per deal.
- Auto-capture new chats into this pipeline — every new WhatsApp conversation creates a deal in the first stage automatically.
- Card layout — choose which parts each card shows: Last message, Deal value, Idle indicator, Next action, Assignee.
Manage deals
Add a deal
Three ways: drag a chat out of INBOX into a stage; click Add card at the bottom of a column; or use the Add deal picker — search your chats ("Search chats…") and fill the deal in: Name, Phone, Stage, Value, Source, Assignee, Close date, Notes.

Cards drop exactly where you place them and the position persists. Special drops:
- Onto INBOX — the deal is removed from the pipeline ("Remove this deal from the pipeline?"); the chat itself is untouched.
- Onto a Lost stage — a prompt asks "Why was this deal lost?"; type a reason or Skip. Reasons feed your post-mortems.
- Hold
Altwhile dragging — the card is duplicated into the target stage instead of moved (useful when one chat belongs in two pipelines).
Deal value
Click a card's value chip to open Business Value: add any number of entries (description, currency, amount — e.g. Initial deposit), plus the pipeline's custom fields. Each column header totals its deals' value in compact form, so the money in every stage is visible at a glance.
Filters and bulk actions
The bar above the board searches every column at once ("Search deals…") and filters by Rotting (idle past the stage's rot days), Overdue (next action in the past), Closed (show Won/Lost deals) and Assignee — Clear resets. Select switches to multi-select: tick cards across columns, then use the "{count} selected" bar to Move to… a stage or Delete them in one go.
Chat actions from a card
Each card carries a chip row so you never have to leave the board:
- Notes — private notes attached to the chat.
- Schedule message — queue a message for a future date and time; pending ones are listed and cancellable. (Group chats aren't supported for scheduling yet.)
- Open chat — jumps to the conversation in your WhatsApp Web tab.
- Quick reply — pick from your Templates library and send without leaving the board.
- Attach media — send a file (up to 60 MB — image, video, audio or document, with an optional caption) or record a voice message right there, with a live waveform and pause/resume.
- Apply labels — toggle labels on the chat.
An unread badge on the card shows how many messages are waiting in that chat.
Analytics
Click the chart button in the filter bar to open Pipeline Analytics: Open deals and Open value, the Forecast (each stage's value weighted by its Win %), the Win rate, won/lost totals, and a per-stage table of Deals · Value · Avg days so you can see exactly where deals pile up and how long they sit.

The full reference lives in the sidebar under Keyboard Shortcuts. The board's Settings page also sets the theme (light/dark) and the Language — which applies across the Kanban tab and the WhatsApp sidebar.
Kanban beyond the board
The pipeline follows you back into WhatsApp Web:
- Chat drawer — every chat's side drawer has a pipeline + stage picker, so you can move a deal without opening the board.
- Chat list chip — a chat's current stage shows as a chip right on the WhatsApp chat list, and the quick-tag dock's stage pills accept a chat dropped onto them to create a deal instantly.
- Bulk sender — pick pipeline stages as campaign recipients, and use the Kanban audience action to move every successfully messaged chat into a stage.
- Synced to your account — pipelines and deals sync in the background (on load and every 15 minutes; the latest edit wins), so the same board appears wherever you sign in.
